Subject: Incorrect charges on January 2017 statement

Dear Claims Representative:

When reviewing the billing statement from the month of January, some incorrect charges were found listed on the statement. The discrepancies that were found included the card being charged twice for one item and having two charges for items that were not purchased by Someplace Else. These charges totaled $11,340.54, and should be reversed as they seem to be a clerical error of some sort.

The first item that was noticed was a duplicate charge for our uniform cleaning. This charge was originally made on 1/8/2017 for $2631.87. The charge was repeated on 1/9/2017. This appears to be a clerical error on the part of your system. We already discussed this with our supplier, and they assure us that they did not resubmit the charge.

The other charges found were for items that are not used by this company. The first of these items is for a storage shelving system from Amazon.com in the amount of $7865.99, placed on 1/15/2017. The second item is for forklift batteries, also from Amazon.com, in the amount of $842.68, placed on 1/21/2017. Someplace Else is a restaurant and we do not use those items at our establishment. I’m not sure how those charges were placed on this card.

One of the reasons your credit card company was chosen is because of the many outstanding reviews of you complaint resolution that we heard from other companies. As stated earlier, I am sure that these billing errors are just clerical oversights and will be remedied quickly. Please notify me if you require more information, and also once these charges have been removed. Thank you for your attention to this matter.

Sincerely,

Paul Abraham

Memo

MEMORANDUM

DATE: February 24, 2017

TO: All Employees

FROM: Paul Abraham

SUBJECT: Summer Operations

The universities see a decrease in the student population during the summer session, and that population is a large part of our customer base. Last year, we kept all staff over the summer with their regular hours and pay. The decision to retain all staff coupled with the loss of customers resulted in an operating loss for the business.

This year, we will be doing something different. The decrease in customers will not affect the hours that Someplace Else is open. However, it will affect the number of staff required on each day. For the upcoming summer term, we will be reducing hours for all employees and reducing the number of part-time employees. The full-time employees will keep enough hours to maintain eligibility for benefits. The part-time employees that are released will be asked back at the beginning of the fall semester. These cuts will begin with the mid-May payroll cycle and end with the mid-August payroll cycle. This staff reduction may be something that is going to occur every summer. The cuts, in both hours and reducing part-time staff, will be spread across all areas as equally as possible. If the reduction in hours will necessitate an employee getting another job, every effort will be made to accommodate the outside work hours.

I would like every employee to schedule an appointment with me over the next two weeks. During this meeting, each employee’s personal situation and desires will be discussed. After all meetings have taken place, the management team will be meeting to make the final decisions. Please understand, while I am concerned about everyone’s situation, the needs of the business will come first.

I would like to thank everyone for their outstanding contributions to the customer experience at Someplace Else and our continuing success.
